HVAC Replacement Quote Follow-Up

HVAC Replacement Quotes Not Converting? Review What Happens After the Estimate

“I’ll think about it” is not a price objection. It might mean the homeowner cannot see why your two replacement options cost different amounts, does not understand the installation plan, or needs someone else involved in the decision. Another “just checking in” text leaves all three problems untouched.

For HVAC replacement quote follow-up, we’ll give the homeowner an easy way to identify the missing information. Then your estimator can respond to the actual question instead of guessing which discount might work.

Ask a question your estimator can use

FIRST MESSAGE IN OUR GHL BUILD

Hi [First name], this is [HVAC Company]. Before you decide on your replacement quote, what would help most: understanding the options, checking the proposed timing, or speaking with the estimator? Reply here. Reply STOP to opt out.

Notice what we have not done: assumed the customer needs financing, promised an installation date, or asked them to compare technical specifications alone. We’ve offered three simple ways to reopen the conversation.

The homeowner saysYour next useful response
“What is the difference between the options?”Estimator explains the specific options in the current quote, including what each includes and excludes.
“When could you install it?”Check real capacity, then offer a confirmed next step. Do not let an automation invent availability.
“Can you talk to my partner?”Arrange a short walkthrough with the relevant decision-makers, using the same quote version.

Stop the sequence when the conversation restarts

Our saved GHL sequence sends the question, waits two days, and offers a quote walkthrough if the contact is still in the workflow. We turned Stop on Response on and re-entry off. A reply to a message from this workflow should end this follow-up run, so the homeowner is not asked to reply while already talking to you.

GHL HVAC workflow settings with Stop on Response enabled and re-entry disabled
We enabled Stop on Response so a reply to this workflow can end the reminder sequence. Separate quote acceptance and booking exits still need connecting. Select to enlarge.

This setting is worth showing because it changes the customer’s experience. It is not a catch-all booking check: a booking or acceptance recorded in a separate quoting system still needs a connected exit. See HighLevel’s workflow settings guidance.

SECOND MESSAGE IN OUR GHL BUILD

Hi [First name], would a short walkthrough of your replacement quote help, or would you prefer us to pause? Reply WALKTHROUGH or PAUSE. Reply STOP to opt out.

A WALKTHROUGH reply is a request for help, not a booking. Your estimator offers suitable times. A PAUSE reply means your team records that preference and stops further follow-up. The words are not automatic routing buttons in this build; a person reads and handles the reply.

Connect the quote before you connect the messages

This example is saved inactive, without an entry trigger, and has sent nothing. Before launch, we’ll connect an eligible open-quote event, the current quote and owner, approved messaging permissions, the sender and business-hour rules. We’ll also add exits for accepted, booked, declined and opted-out records so a change outside this workflow does not leave the customer in the queue.

Then use internal test contacts to check three outcomes: a reply before the second message, an accepted quote with no SMS reply, and silence through the full interval. Confirm the second message is suppressed in the first two cases before involving customers.

Judge it by the conversations it reopens

Track replies that identify a real question, walkthroughs arranged, and accepted quotes from eligible enquiries. More messages sent is not the goal. The useful outcome is a homeowner getting the answer they needed to make a decision.
