What we built
1. Application intake and review
When an application is submitted, the contact is marked for review and the assigned reviewer is notified. The automation does not automatically treat every form submission as qualified. That decision remains visible and deliberate.

2. Qualified-lead booking invitation
A qualified lead receives the discovery-booking invitation. The workflow waits, checks whether an appointment exists, and follows up only when no booking is found. A completion tag closes the sequence so the team can see that the follow-up ran.


3. No-show recovery
If a discovery call is missed, the system sends a direct rescheduling message, waits one day, checks for a new booking and sends one closing email only when needed. It is intentionally short. A no-show does not justify an endless sequence.


The CRM structure behind the workflows
Automations become fragile when the underlying data is vague. We created coaching-specific fields for role, challenge, desired outcome, team size, timeline, qualification status and readiness. The eight-stage pipeline follows the actual buying conversation from New Application to Won, Nurture or Lost.


A 45-minute discovery calendar and reusable installation values complete the core. During installation, values such as the coach name, booking URL, proposal URL, payment-update URL and support email are replaced once instead of being edited across multiple assets.
